When Excel, Word and standard tools are no longer enough
Less administrative work in managing orders, projects and services
I analyse established workflows in your business and develop the right solution to reduce costly administrative work, improve visibility and make day-to-day operations easier to manage.

Many businesses have good systems – but too many spreadsheets, files and manual steps in between
Orders, projects, invoices and services are often managed across Excel spreadsheets, Word documents and several different systems. This can work well for years. But as the number of projects grows, more people become involved and processes become more complex, the gaps between those systems start creating work.

Information has to be maintained in several places, data needs to be collected manually and employees spend more time checking, transferring and coordinating information. Visibility decreases, mistakes become more likely and more working time is spent on administration instead of the actual business.
Data is entered and maintained more than once
Customer, project, invoice or order data is stored across different spreadsheets, files or systems. Changes have to be entered several times, checked manually and can easily become inconsistent.
Information is scattered across different places
Some information is stored in Excel, other information in Word documents, emails or existing software. Getting a complete picture often means collecting it manually first.
Recurring tasks are still done manually
Creating documents, transferring data, updating statuses or triggering follow-up tasks: many steps happen repeatedly but are still carried out manually every time.
The current status is not available at a glance
Project progress, open tasks, billing information or key figures often have to be collected from several sources or requested from individual employees.
Important processes depend on individual employees
Certain people know which spreadsheet is current, where information is stored and what needs to happen next. Too much process knowledge exists in people’s heads instead of in the process itself.
More business immediately creates more administration
As the number of customers, projects or transactions increases, the amount of coordination, checking and data maintenance grows with it – even though the underlying process has barely changed.
How to recognise when your processes are no longer scaling with your business
Established processes often work well for a long time. Problems usually become visible when more customers, projects or employees are added. Information has to be collected more frequently, tasks require additional coordination and spreadsheets need constant manual maintenance. What once worked in the background gradually becomes time-consuming and more prone to errors.

Typical signs include:
You have to ask around before you know the actual status
The information exists, but it is spread across different files, systems or employees.
More business immediately means more administrative work
Every new customer, project or order creates additional maintenance, checking and coordination.
Reports have to be recreated again and again
Figures and project information are not readily available and have to be compiled before meetings, reporting or management decisions.
Small changes trigger several manual steps
A new address, status change or approval has to be updated and communicated in several different places.
Your employees manage the process instead of doing the actual work
A noticeable amount of working time is spent transferring information, checking data, following up and documenting instead of working on the core task.
The goal: More capacity for customers, projects and growth

The objective is not to digitise as much as possible or introduce another piece of software. What matters is that information is reliable and accessible, recurring work is reduced and your employees have more time for the work that actually creates value.

This allows your business to grow without administrative work increasing at the same rate.

Less administrative work
Repetitive maintenance, checking and coordination tasks are reduced or automated where it makes sense.
Information is available where it is needed
Project status, order information and open tasks no longer have to be collected from several different files or systems.
Fewer errors and less rework
Duplicate data entry, transfer errors and forgotten process steps are significantly reduced.
Reliable visibility
Important information and key figures are available when needed – without constant follow-ups or manually prepared status reports.
More business without proportionally more administration
More customers, projects or orders should not automatically require the same proportional increase in administrative work.
Less dependence on individual employees
Processes and information remain understandable and accessible even when somebody is on holiday, unavailable or leaves the company.
The right solution depends on the workflow
Not every problem requires new software. Sometimes a targeted automation or integration is enough. In other cases, a dedicated tool is the better solution. The important question is not which technology can be introduced, but which solution actually makes the existing process simpler, more reliable and easier to manage.
Custom tools, interfaces and dashboards
When Excel, Word or existing software can no longer represent a process properly, a custom application can bring the relevant information and working steps together in one place.
Automation and system integrations
When data is transferred repeatedly or recurring steps have to be triggered manually, processes can be automated and existing systems connected in a practical way.
Customer and self-service portals
When information, documents, status updates or data are regularly exchanged with customers, suppliers or partners, a dedicated portal can simplify these processes significantly.
Particularly useful for businesses with established but increasingly complex processes
The approach is particularly suitable for businesses where orders, projects or services have become more complex over time and now require increasing amounts of coordination, maintenance and manual administration.
Engineering and planning companies
When quotations, projects, working hours, documents and billing are managed across several spreadsheets, files or systems and administrative work increases as project volume grows.
Technical and service-based companies
When orders, site work, documentation, status updates or billing have to be coordinated between the office, project management, field teams or service staff.
Professional service businesses and organisations
When information is distributed across different systems, spreadsheets and employees, while recurring administrative tasks increasingly consume valuable working time.
How we work together
First, we need to understand where the actual problem lies, which processes are affected and whether a digital solution makes business sense at all.
Step 1 Free of charge

Workflow review

  • 2 minutes
  • Online
  • No obligation

Briefly describe a workflow that takes up unnecessary time in your business or has become difficult to manage. I will personally review your situation and email you an initial assessment.

Request a workflow review
Step 2 Free of charge

Analysis call

  • 45–60 minutes
  • Video call
  • Personal analysis

Together, we take a closer look at the workflow: how does it work today, which systems and files are involved, and where do unnecessary steps, errors or gaps in visibility arise?

Step 3 Free of charge

Solution presentation

  • 30–45 minutes
  • Video call
  • Includes a fixed-price quotation

I will present my proposed solution and show how your workflow could become simpler and more reliable. You will also receive a fixed price for the potential project. You then decide how to proceed.

Step 4

Target process & solution concept

  • 2–3 weeks
  • 2–3 meetings together
  • A clear basis for implementation

The proposed solution is developed into a clearly defined target process, including workflows, required features and initial interface previews.

Your satisfaction guarantee: Once the Target process & solution concept is complete, you decide whether you are satisfied with the result. If you are not, I will refund your payment and we will end the project.

Step 5

Implementation

  • 5–7 weeks on average
  • Based on the Target process & solution concept
  • Transparent progress and regular coordination

Once you approve the Target process & solution concept, the agreed solution is implemented, with your input at each stage.

Independent, direct and focused on the actual problem
I look at your processes from both a business and technical perspective. The objective is not to introduce new software as quickly as possible. First, we need to understand where unnecessary work, errors or a lack of visibility actually arise in day-to-day operations. Only then do we decide what kind of solution makes sense – whether that is a custom tool, an automation, a system integration or simply an improvement to the existing process. What already works well stays in place. We only change what has become unnecessarily complicated, inefficient or difficult to scale.

About me

For more than ten years, I have been working as a software developer with a particular focus on one question: How can established businesses simplify their workflows, connect existing systems more effectively and reduce recurring manual work? My work is not about digitisation for its own sake. It is about commercially sensible improvements: less duplicate data entry, fewer errors and more reliable information for management and the people responsible for daily operations. I work pragmatically and independently. What already works well remains in place. I only recommend changing processes that create unnecessary work, dependencies or a lack of visibility. My goal is not software for the sake of software. My goal is to create processes that remain clear, reliable and manageable as the business grows.
